Prepare a useful feasibility conversation

For sponsors and CROs: outline the question, make assumptions visible, and identify what a site would need to verify.

A useful first discussion starts with a clear outline and room for questions. The aim is to establish what needs to be understood before anyone confirms fit, capacity, or a working arrangement.

Describe the study at the right level

Prepare a brief, nonconfidential outline of the research area, study stage, intended approach, expected visits, and anticipated timing. Explain which details are established and which are still under discussion.

Distinguish requirements from assumptions

A protocol requirement and an early planning estimate should be easy to tell apart. Mark uncertain details so the site can ask the right follow-up questions.

  • Which activities would take place at the site?
  • What equipment, facilities, training, or external services would need to be verified?
  • What does the visit schedule imply for participants and the research team?
  • Which timing dependencies could affect the proposed start?

Consider the participant experience

Describe the practical demands participants may encounter: travel, visit length, activities between visits, and the information they would need before deciding whether to take part.

Identify questions about communication, access, and scheduling that require further discussion. A site conversation can clarify what is feasible; the website cannot confirm those arrangements.

Keep confidential material out of the planner

Use an appropriate high-level description. Do not enter participant information, confidential protocol material, or commercially sensitive details in a planning worksheet intended for general preparation.

Close with a defined next step

Decide which questions need an answer, which documents may be appropriate to exchange, and who should take the next action. Record any unresolved assumptions alongside the outline rather than presenting them as confirmed capabilities.
